BI Book AI Addendum
Effective date 8 April 2026
The following terms and conditions (“BI Book AI Addendum”) shall govern the relationship between Renance - Automated Financial Services Oy (“Vendor”, “we” or “our”) and the Customer(s) and Authorized User(s) of the BI Book platform accessing and using available AI functionalities (“BI Book AI Services”).
This BI Book AI Addendum is incorporated by reference into, and forms part of, the BI Book Terms of Service, available at https://get.bibook.com/terms-of-service (“BI Book Terms”). These documents should be reviewed in conjunction with one another. The BI Book Terms shall continue to govern the use of all BI Book services. In the event of any inconsistency between the BI Book Terms and this BI Book AI Addendum, the provisions of this BI Book AI Addendum will take precedence unless expressly indicated otherwise. In addition, the use of the AI model is subject to the applicable terms of service of the third-party AI service provider selected by the Customer or an Authorized User (“AI Provider”), which can be found in the Appendix 1:

By accessing or using BI Book AI Services, you acknowledge that you have reviewed and agree to comply with the terms of the selected AI Provider.
Definitions
“AI” means artificial intelligence systems as defined under the EU AI Act (Regulation (EU) 2024/1689).
“AI Agent” in BI Book AI is an autonomous AI-powered system capable of perceiving inputs, reasoning over them, and executing actions independently to accomplish specific objectives defined by the Authorized User.
“AI Model” means algorithms, provided by an AI Provider, that have been trained on a set of data to recognize patterns and make predictions on the optimal response to any prompt.
“AI Output” means any type of output generated by BI Book AI, including but not limited to answers, insights, recommendations, suggestions, DAX formulas and any resulting data, which are based on prompts (including agent prompts and other instructions) and on Customer Data.
“BI Book AI Services” refer to the artificial intelligence-based functionalities and tools made available through the BI Book platform, which Authorized Users may utilise to access features, generate AI Outputs, or perform specific actions, for decision-support and operational assistance purposes only, and not as a substitute for human judgment.
“Dataset” means the underlying Customer Data, including related measures and calculations, contained in a BI Book report.
“Human Oversight” means oversight requirements as outlined in the EU AI Act.
Terms that are not defined in this BI Book AI Addendum have the meanings given in the BI Book Terms.
1. BI Book AI Services
1.1 BI Book AI Services are available for Authorized Users of the Customer who has subscribed to these supplementary AI services.
1.2 BI Book AI Services include the following functionalities:
- BI Book AI enables efficient use of Customer Data in the BI Book reports (“BI Reports”) based on AI Model(s) from AI Provider(s). For example, an Authorized User may submit prompts that retrieve customer-specific data from the selected BI Report matching the inquiry in the prompt and then use that data to gain insights or generate tables and visualizations.
- AI Agent(s) made available on BI Book AI prompts are designed to provide helpful information, answer questions, create visualizations, alerts and generate other AI Outputs using Customer Data in BI Reports and Authorized Users’ instructions as a context. The AI Agents may also be used to program timed data queries, automate alerts and create predictions based on the BI Reports.
- Prompting with selected AI Model: Claude, Gemini or Azure OpenAI. The Authorized Users may choose one of the AI Models available. The Authorized Users may submit input for processing by BI Book AI (“Prompt”) and receive output generated by BI Book AI based on that Prompt (“AI Output”). All Prompts will incorporate data selected from user-designated BI Reports.
- In addition to the Dataset-aware BI Report-based chat, BI Book AI provides a generic chat experience, allowing Authorized Users to use the selected AI Model without limiting it to the context of a specific BI Report.
2 Fees and Payment
2.1 Fees for BI Book AI Services are determined according to the specific offer provided.
2.2 BI Book AI billing and payments are processed alongside with the BI Book services and are subject to the BI Book Terms of Service.
3 Access and Use Restrictions
3.1 All Authorized Users of the Customer have access to the generic chat experience included in the BI Book AI Services. Access to a BI Report–based chat is limited to those Authorized Users who have been granted access to the underlying BI Report. Access to a BI Report via BI Book Report–based chat also implies access to the associated Dataset. If this functionality is not preferred by the Customer, the Customer must request that the Vendor implements dataset-level safeguards before enabling BI Book AI Services in the BI Book.
3.2 In using BI Book AI Services, Customers and Authorized Users must comply with all applicable laws, including EU AI Act, GDPR (Regulation (EU) 2016/679), AI Providers’ Terms of Service and any agreements that apply to the Customer.
3.3 The Customer shall not use BI Book AI for any prohibited AI practices as defined by the EU AI Act, including but not limited to: (a) untargeted scraping of facial images from the internet or CCTV footage; (b) emotion recognition in the workplace or educational institutions; (c) AI-based social scoring; or (d) biometric categorization to infer sensitive protected characteristics. A breach of this section is considered a material breach of this BI Book AI Addendum.
4 High-Risk Use Cases and Human Oversight Requirements
4.1 The Customer acknowledges that certain use cases (e.g., employment, creditworthiness, or basic service eligibility) are classified as high-risk AI systems under the EU AI Act. For these cases, the Customer, acting as a “deployer”, is responsible for: (a) performing a fundamental rights impact assessment if required by law; (b) ensuring human oversight by a qualified professional; and (c) monitoring the operation of the high-risk AI system for potential risks. The Customer shall also ensure that the personnel under its authority who are tasked with the use of BI Book AI have the necessary competence and training.
4.2 In all high-risk use cases, the Customer shall implement Human Oversight process. This requires that a qualified professional in the relevant field must review the generated content or decision prior to its dissemination or finalisation.
4.3 The Customer remains solely responsible for the accuracy and appropriateness of the information and decisions made. The review by a qualified professional is intended to ensure that any AI Output is verified before it has a direct impact on individuals.
4.4 Failure to implement the required Human Oversight measures for high-risk use cases shall be considered a breach of the terms of this BI Book AI Addendum.
5 Data, Content and Third-Party Services
5.1 Given the nature of machine learning and AI technologies underlying BI Book AI, AI Outputs may not be unique and may resemble content generated by other services. Customers acknowledge that aspects of BI Book AI rely on AI Providers and agree that BI Book AI may share Prompts and AI Outputs, including Customer Data, with such AI Providers to enable the delivery of the BI Book AI services.
5.2 The BI Book AI Services rely on third-party AI Providers. While the Vendor is responsible for BI Book AI, the AI Providers are “Third-Party Services” as defined in Section 5 of the BI Book Terms. The Vendor makes no representations or guarantees regarding third-party AI Providers’ services, including their training data, uptime, availability, performance, accuracy, or reliability, and disclaims all liability arising from or related to third-party outages, system interruptions, policy changes, errors, misrepresentations, or AI-generated inaccuracies or hallucinations. The Vendor’s liability for the performance of these third-party AI Models is limited to the extent of the credits or remedies the Vendor actually recovers from the AI Provider for the specific failure.
6 Model Training and Service Improvement
6.1. The Vendor does not use Customers' or Authorized Users’ personal data to train AI Models. However, the Vendor may use anonymised and aggregated platform usage data (data that does not directly or indirectly identify the Customers or Authorized Users) to improve the BI Book AI Services.
6.2 All AI-driven data processing is conducted in compliance with applicable data protection laws and the Vendor’s Privacy Statement and Data Processing Agreement (“DPA”) incorporated to the BI Book Terms. The Vendor maintains a commitment to the fairness, accuracy, bias mitigation, non-discrimination and security of its AI technologies. The Vendor maintains protocols under which AI systems are monitored and tested, and they are subject to Human Oversight.
6.3 The Vendor states that through its use of the AI Models, Customer Prompts, AI Outputs, and any data provided by the Customer: (a) are not shared with other customers; (b) are not used by the AI Provider to improve their generative AI models ; and (c) are not used to train any generative AI models.
7 Term and Termination
7.1 The BI Book AI service begins when the Customer’s user who has the authority and power to activate the subscription accepts the terms of this BI Book AI Addendum.
7.2 These BI Book AI Services may be terminated independently as outlined in Section 8 of the BI Book Terms.
8 Ownership and Intellectual Property Rights
8.1 The Customer acknowledges and agrees that the Vendor and AI Providers own all intellectual property rights in the BI Book AI Services and AI Models respectively. As between the Customer and the Vendor, the Vendor and its licensors own all rights, title, and interest, including all intellectual property rights, in and to the BI Book AI Services, AI Models and any services provided in connection with it.
8.2 As between the Vendor and the Customer, the Customer owns all right, title, and interest in and to the AI Output generated by BI Book AI. The Vendor hereby assigns to the Customer all its proprietary rights in such AI Output, subject to the Customer’s compliance with this BI Book AI Addendum and the AI Provider’s Terms of Service. The Customer acknowledges that due to the nature of AI, AI Outputs may not be unique across different users and that the Vendor continues to own the BI Book AI Services, AI Agents, and related code as well as BI Book platform.
8.3 Notwithstanding the exclusions in Section 15.1 of the BI Book Terms, the Vendor will defend and indemnify the Customer against third-party claims alleging that the AI Output generated by BI Book AI infringes a third party’s intellectual property rights, provided that: (a) the claim does not arise from the Customer’s Prompts or Customer Data; (b) the Customer has not modified the AI Output in an infringing manner; (c) the Customer has followed the Terms of Service of the applicable AI Provider, and (d) the Customer has followed all Human Oversight requirements for high-risk use cases.
9 Privacy Policy and Processing of Personal Data
9.1 The Customer acknowledges and agrees that the Vendor may collect and process the personal data as a Processor in connection with the use of BI Book AI Services. The Vendor will handle such personal data in accordance with applicable data protection laws and regulations. 10 DISCLAIMER OF WARRANTIES
10.1 The Vendor provides BI Book AI Services on an “as is” and “as available” basis. To the fullest extent permitted by law, the Vendor disclaims all warranties regarding BI Book AI Services, all AI Outputs, whether express or implied, including warranties of accuracy, merchantability, fitness for a particular purpose, and non-infringement.
10.2 The Vendor does not warrant that BI Book AI Services will be uninterrupted or error-free, nor do we guarantee the accuracy, completeness, or reliability of any AI Output. BI Book AI Services are developed to high standards of safety and ethical use; however, AI Outputs may be inaccurate, misleading, biased, or incomplete (“hallucinations”). The Customer and its Authorized Users acknowledge and accept the risks associated with such AI Outputs. They are also responsible for validating, interpreting, and reviewing all AI Outputs prior to taking any action based on or in reliance upon them.
10.3 The Vendor recommends maintaining Human Oversight measures for any AI Outputs. Customers and Authorized Users are responsible for verifying the accuracy and suitability of AI Outputs before relying on it for decision-making. This evaluation obligation applies regardless of any guardrails, filters, controls, updates, or any other mechanism the Vendor may implement.
10.4. The Vendor does not represent or warrant that the AI Agents comply with or satisfy any regulatory requirement. The AI Agents are provided solely as a tool to support Customers and Authorized Users in their internal processes. Customers and Authorized Users must independently determine whether the AI Agents meet their regulatory obligations. Customers and Authorized Users agree that all AI Outputs taken by AI Agents are deemed to be actions taken by the Customer.
11 LIMITATION OF LIABILITY
11.1 The Customer shall assume sole responsibility for any use of the BI Book AI Services.
11.2 Given the inherent characteristics of AI and machine learning, AI Outputs may not always be accurate or reliable; accordingly, the Authorized Users need to review and validate independently all AI Outputs before utilising or distributing them. BI Book AI makes no guarantee regarding the accuracy of any AI Output.
11.3 While the AI Agents may help the Authorized User to analyse the Customer Data, the information provided is for informational purposes only and is non-binding and is not a substitute for any type of professional advice or analysis. The Vendor and AI Providers strive for accuracy, but AI is fallible; the AI Agents may occasionally provide incorrect, outdated, or incomplete information. The Authorized User shall verify critical details independently before making decisions.
12 Changes
12.1 The Vendor may make changes to these BI Book AI Addendum and pricing of the BI Book AI Services from time to time, effective thirty (30) days after they are posted unless otherwise specified. Continued use of the BI Book AI Services will be deemed acceptance of the revised BI Book AI Addendum.
